Job Description

Williams Title Denver Colorado is a title insurance and escrow services company that is currently soliciting resumes for the position of Escrow Officer. This position will have the following responsibilities.  It has been designed to indicate the general nature and level of work performed by employees within this classification.

Duties and Responsibilities include but are not limited to the following:

 

Customer Service

  • Offer each customer the best possible service, quality, value and experience possible. Greet customers enthusiastically and professionally, either in person or over phone, with emphasis on representing the company in a way which builds customer relationships and a positive image.
  • Answer customer inquires in a timely and accurate manner either in person or electronically.
  • Build and maintain productive relationship with all customers, taking responsibility for customer satisfaction and loyalty.
  • Act as liaison with all parties involved in the transaction, e.g. buyer, seller, listing agent, buyer agent, lender, mortgage broker and/or attorney.
  • Create as memorable and positive of an experience as possible and remember that buying or selling a home can be a monumental time in peoples lives.

Pre-closing

  • Determine escrow requirements by reviewing and clarifying buyer, seller and lender instructions upon receipt of new order.
  • Obtain clear title by ordering title reports, resolving title defects, satisfying existing liens and encumbrances against property or principals; provide a pro-active approach in notifying customers of potential roadblocks or issues.
  • Review contract, pre-type, prepare and deliver balanced and error free settlement statements.
  • Prepare other required real estate documents.
  • Gather all file information required to close transaction.
  • Prepare and organize lender loan and real estate documents in preferred order and copy for physical presentation.

Closing

  • Review lender and real estate closing instruction for closing conditions, endorsements, and disbursement of proceeds.
  • Review all closing documents for accuracy in names, address, and legal as outlined.
  • Prepare all closing documents required for closing and obtain approval for lender if one is involved.
  • Obtain funding authorization from lender prior to funding on all transactions and document information.
  • Describe closing and lender documents according to presentation standards and obtain signatures, collect accurate amount of “Good Funds” and satisfy title and lender requirements.

Post Closing

  • Claim wires and/or deposits “Good Funds.”
  • Balance file; disburse funds and documents according to instructions from mortgage company, payoff lender, title and other appropriate parties.
  • Proof recording documents for typographical errors, signatures, notary, and/or recognize omission of data; record documents with appropriate state/county agency.
  • Resolve all post-closing quality reconciliation issues.

Other Duties

  • Ensure workload is completed in a timely manner by securing additional resources if needed.
  • Coordinate with assistant in processing functions; establish and maintain a joint filing system for processing efficiently.
  • Maintain and manage closing reports to office expectations.
  • Identify opportunities for systems improvements.
  • Outside travel may be necessary for closings.
  • Perform other related duties as assigned by manager.

Qualifications:

  • Minimum of 5+ years of experience in Refinance Closing Agent, Closing Assistant, or Closing Processor.
  • Required to possess a Colorado Title License.
  • Required to be an active Colorado Notary.
  • Bachelors’ degree preferably.
  • Be highly motivated and energetic.
  • Has a high standards of performance for self and others, naturally monitors work product to ensure freedom from errors, omissions or defects.
  • Must be a customer-centric attitude and history of building relationships.
  • Must be organized, a self-starter, and detail oriented.
  • Can handle stress in a manner that is acceptable to others and to the organization.
  • Excellent written and verbal communication skills including presentation skills.
  • Ability to work independently and with a team.
  • Strong problem solving and analytical skills.
  • High level of proficiency with computers, Office products (Word, Excel, PowerPoint, and Outlook) and other technology.
  • Travel may be required as needed.

Title Real Estate Transaction Management Coordinator

The Williams Companies are growing and expanding our operations and seeking to hire for the following position:

Real Estate Transaction Management Coordinator

Immediate opening to work with a Top Producing Real Estate Agents in the Denver Metro and surrounding areas to effectively oversee the administrative tasks involved in closing a sale. Transaction coordinator will function as a liaison between real estate agents, clients, escrow and title company, and mortgage brokers during the process of a real estate sale.

You must be organized, dedicated to producing quality results, meticulous with details, a positive person, a good communicator — both written and verbal, have excellent computer skills, a quick mind and willing to work hard and smart. This is NOT an entry level position. Working knowledge of real estate and the Escrow process is strongly preferred.

Technology proficiencies:
• Microsoft Office — Outlook, Word, Excel, etc
• Top Producer (database, transaction management)
• MLS system, CTMe, Winforms, Docusign

Transaction Coordinator duties:

  • Open escrow and provide escrow officer with the necessary information to begin the process of managing the file. Ensure receipt of initial deposit money and delivery to escrow. Send the cooperating agents any necessary disclosures required by law.
    · Work closely with real estate agents to ensure compliance with the time lines outlined in the real estate purchase agreement. Coordinate with Seller to order disclosures and reports, termite inspections, and home warranties as needed. Work with Buyer to schedule home inspections, and assist Buyer with fulfilling lender requests as necessary to ensure funding requirements are met.
    · Maintain the file to ensure all the mandatory disclosures are completed and sent to the cooperating agent for the client’s review and approval. Check for all initials, signatures and dates before marking the disclosures as complete and filing them. Follow up on missing documents to ensure file is complete.
    · Provide a consistent, quality-controlled system to ensure the smooth and efficient management of all relevant steps necessary to close a real estate sale. Monitor and assess the progress of the sale so that important deadlines are met and contingencies are released. Provide a preliminary audit of the file for the managing broker to review.
    · Assist escrow officer as needed in order to meet file closing deadlines. May include packaging and overseeing delivery of documents to Title Company, coordinating with agents to ensure their files are complete, communicating with clients for submittal of all required documents and funds, fulfilling lender requests for documentation, etc. and other duties as required.

– 3 to 8 years minimum of work experience in transaction/file/project management, administrative responsibilities, real estate related industry experience.
– Solid ability to stay organized and focused in a fast-paced environment is crucial for this position. Attention to detail is also imperative. A professional demeanor is a must. This job also requires strict adherence to protocol of confidentiality.
– Ability to communicate and work well with a broad range of individuals including clients, potential clients, title and escrow agents, other real estate agents and lenders.
– A working knowledge of real estate transaction requirements of federal government agencies
Requirements are:  Colorado Licensed Real Estate Agent.  Certified Transaction Management Specialist.  High School Diploma or GED Equivalent.  College degree preferred.  Four or more years in the real estate industry.

Compensation: includes a monthly base salary plus per closed file  transaction commission. Benefits are provided after 60 days of employment.
-Office hours are 8AM — 5PM, Mon-Fri, with some flexibility. Some weekend work may be required.
